What we hold about you, where it comes from, why, and what you can do about it. Short, because it should be.
Who we are
Sidecic Community Interest Company. A community interest company limited by guarantee, registered in England and Wales, company number 17504877. Registered office: Morley’s Cottage, Morley’s Yard, Beverley, England, HU17 9BY. We are the data controller for anything we hold about you. Questions about your data: hello@sidecic.org.
What we hold, and why
If you email or call us: your name, how to reach you and what you told us, so we can reply. If you book: the booking details and payment records, to run the sessions and keep our accounts. If you give to Pay it forward: your name and the gift, for our accounts.
If we work with a young person: their name, date of birth, address and school or provision, who holds parental responsibility, emergency contacts, the plan we make together, the risk assessment, attendance and short session notes, so the work is safe and useful. Safeguarding records are kept apart from session notes and seen only by the people who must see them.
Some of this is more sensitive: health, medication, special educational needs and neurodivergence. We hold it only where the work needs it, with the explicit consent of the young person or their parent or carer, or because safeguarding requires it.
Where it comes from
Mostly from you. When a school, college, council or service refers a young person, they send us what we need to start: name, age, contact details for the family, the school or provision, the support they are asking for, and anything about needs, health or safety that keeps the work safe. A parent or carer may also tell us about their young person. We tell you what we were sent, and you can see it.
Why we are allowed to
Our lawful bases are the contract with you or with the organisation that books, our legal duties (safeguarding, accounting, tax), and our legitimate interest in running the service well. Where we rely on consent, you can withdraw it at any time, and that does not change anything we did before. What you pay stays in our finance records, never in session notes.
When a council books a package, the council decides what happens to the information it gives us, and we follow its instructions.
Who sees it
The people who work with you at Sidecic. The school, council or service that referred you, with consent, and without consent only when someone's safety requires it. Our accountant, for the accounts. Microsoft, which hosts our email and files, and our payment provider, both acting on our instructions. Nobody else, and nobody for marketing.
How long
Session notes about a young person: seven years after the last session, or until they turn 25, whichever is later. Finance records: six years. Safeguarding records: as the local safeguarding partnership advises. Enquiries that go nowhere: one year.
Your rights
You can ask for a copy of what we hold, ask us to correct it, ask us to delete it where the law allows, ask us to limit what we do with it, or object to how we use it. A young person can ask in their own right. Email hello@sidecic.org and we reply within a month, free.
If you are unhappy with how we have handled your information, tell us first and we will put it right; our complaints policy says how. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
This website
It sets no cookies and runs no analytics. The two fonts load from Google Fonts, so Google sees your IP address when a page loads. We never publish photos, names or stories of young people.
Focus and Revise
The two free tools on the utility belt collect nothing and set no cookies. Everything you type into them stays in your own browser or on your own phone; nothing is sent to us, and we cannot see it. If you email us feedback, we keep the email while the beta runs and delete it afterwards.
Accessibility
Both tools have a dark theme, keyboard focus, labels for screen readers and reduced motion, and Focus can read a task aloud. If something on this site or in a tool does not work for you, email hello@sidecic.org and we will put it right or find another way.
